The Challenge of Content Creation & Getting Organized:
Here’s the message I received from one of our members who is coming back from burnout and wanting helps with organization and getting started with content creation.
Hi Kayla, it’s so good to see you again. Burnout is real, and after taking a few months off to deal with my own, I’m finally diving back in.
I have hired an assistant for about 8-10 hours a month. I want to do some marketing strategy with her—what we’ll be doing for the rest of 2023-2024. Plus, plan out social media at least for the 4Q23.
You’ve got so many incredible products, do you have a recommendation on where to start? I love this content generator.
The Importance of a Streamlined Content Creation Process:
If you’re ever struggling to get content done and have the means, then hiring an assistant can be a fantastic idea to help you with your marketing strategy. It’s always a relief to have some extra hands on deck, isn’t it? But, even if you’re not hiring and assistant and still wondering how to get organized, this plan will help you either way!
So, let’s get you started on the right track with your content creation and planning.
Tools and Strategies for Streamlining Content Creation
To streamline your content creation and marketing strategy, I recommend the following process (and I’m featuring products included in the Ivory Mix content membership as examples).

To streamline your content creation, start with brainstorming Goals, Plans and Content for the year:
Setting clear goals, developing thought-out plans, and creating compelling content are crucial steps in streamlining your content creation process. Begin by reflecting on your overall business objectives and the outcomes you want to achieve through your content. Once you have a clear vision of your goals and plans, start developing plans that outline your content themes and topics.
Here’s a breakdown of my process to create a 12-month plan
- Set 2-3 big goals for the year that are challenging but attainable.
- Create a “Would Be Nice” list of smaller outcomes that support your desired feelings.
- Gather data from the previous year to identify areas for improvement and inform decision-making.
- Consider four priorities as a business owner: increasing sales, building social proof, improving profitability/operations, and mastering your craft.
- Set specific quarterly goals, including one “ROCK” goal that requires long-term planning.
- Determine tasks to do, delegate, or delete in relation to your goals.
- Outline the specifics of your goals and schedule tasks using project management tools like Trello or Asana.
- Generate content themes that align with your audience’s struggles and align with your new projects, goals, or existing offers
Use the Annual Planner
You can find an annual planner here. Start by using the Annual Business Planner from Ivory Mix. This comprehensive planner will help you brainstorm and establish your goals and plans for the rest of 2023 and even into 2024. It provides a clear roadmap for reviewing your past year and setting up your upcoming strategies.
Finalize your Goals, Plans and Content for the year:
Once you have brainstormed your goals, plans, and content ideas for the year, it’s time to finalize them in one spot to show your plan for your business goals, your upcoming content themes and to keep track of your general business projects, and monthly tasks.

Use the General Planner:
Linked within the annual planner, the general planner is where you can put your overall plan and goals. Also, put your content plan onto the general planner and assign tasks to your assistant on the general planner Trello board.
Create some specific content ideas for your plan:
Once you have finalized your goals, plans and content themes for the year, it’s time to come up with specific content ideas that align with your overall strategy.
If you’re a digital product business like out members, then one of the most effective ways to do this is to map your content to your ideal customers journey, including their pain points, alternatives, desired goals, and your suggestions.

Use the Content Generator:
Members are loving this content idea generator. It can be found here. Go back to your content plans outlined and finalized on the general planner and input your content themes into the content generator to create content ideas. Save copies of the generated content and schedule it or move it to the content planner(or have your assistant do this part)

Organize your content ideas and include a checklist of tasks involved each time you sit down to create content
Once you have finalized some of your content ideas, it’s essential to organize them effectively to streamline your content creation process.
Consider using a content calendar, a spreadsheet, or a project management tool like airtable, Trello or asana to keep track.
You can also include additional details, such as keywords, calls-to-action, and checklists of the necessary tasks involved with your process of content creation. (check out the example below)
Find a content planner here. You can use this yourself or give your assistant access to the content planner, where you can collaborate on your newly planned content with checklists and tasks. Your assistant can fully plan the content and move it from in progress to scheduled and then completed. This will help you easily track the progress of tasks.

Create a content Playbook of templates you’ll use and re-use:
To further streamline your content creation process and maintain consistency, consider creating a content Playbook that includes templates you can use and re-use. These templates can serve as a starting point for different types of content, such as blog posts, social media posts, and emails. Having pre-designed templates at your disposal saves time, ensures a cohesive brand presence, and allows you to focus more on creating compelling and engaging content rather than starting from scratch each time.
